This privacy notice applies to all Luxeford’s operations. It explains the type of information that we process, why we are processing it and how that processing may affect our users.

How & when we collect your personal data?
Most of the personal data we collect comes directly from you (whether in person, over the phone, on a paper form, by email or online) for example:
  • when you register to bid in an auction, agree to sell your property through Luxeford’s or valuation request;
  • when you express an interest in specific types of property to one of our staff or representatives;
  • when you subscribe to Luxeford’s catalogues;
  • when you sign up on www.luxefordauction.com or www.luxeford.com to receive news about upcoming auctions & events relating to particular areas or complete your profile in your online account;
  • when you attend a Luxeford’s event.

Data is collected automatically when you bid on the phone, call our team, visit our premises or our website
Your voice will be recorded when you call our team, and when you use our phone bidding.
Your image may be collected by Luxeford’s if you attend our premises. We use CCTV at our saleroom & office for the protection of our staff, our visitors and the property that we sell. We also video record our auctions for security reasons and to monitor bidding process. Live recording of our auctions may be available selectively on www.luxefordauction.com or www.luxeford.com in the future.
We collect data about your computer when you visit our website. This information is for our internal system administration, to help diagnose problems with our servers, to administer our website and monitor and improve the user’s experience.
We also collect data about you through cookies. A cookie is a simple text file that is stored on your computer or mobile device by our website’s server which allows our website to remember your preferences or transactions that are in progress.

Data collection from other sources
We may also obtain information about you and/or the property you own or wish to collect from other sources, for instance:
  • When someone informs us that you (the third party) are authorized to bid on their behalf at Luxeford’s or collect their property;
  • When someone introduces you to us (including when they use the Search Box, social media and other Luxeford’s services to email you details of a lot that they believe may interest you);
  • When we research artwork or other objects and we find past information about you in sources such as newspaper articles, exhibition catalogues, public auction results, or one of our contacts gives us feedback in relation to objects or persons they have been told about.

Who can see your personal data?

Luxeford’s Group
Your personal data will be processed by the Luxeford’s company that initially receives it, and may also be transferred to and processed by other companies within the Luxeford’s group. Luxeford’s uses EU Commission approved standard contractual clauses to regulate the transfer and processing of data.

Outside the Luxeford’s Group
We do not transfer your personal data to organizations who wish to use it for their own marketing promotions or other purposes. Your personal data will only be shared with other organizations where it is necessary to enable us to provide you with the services you have requested (for instance: we may transfer your data to our bank, payment card acquirers, warehouses, shippers, insurers, experts who help us authenticate or value property, companies that perform identification, anti-fraud and credit checks or screening for sanctions, anti-money laundering and/or negative media purposes, catalogue, event venues, caterers and direct marketing fulfilment and distribution). Where we do so it will be on the basis that these organizations are required to keep the information confidential and secure, and they will only use the information to carry out the instructed services.
We may also need to retain and disclose certain information about you to appropriate agencies to conduct anti-money laundering and trade sanction checks and to assist with fraud and crime prevention and detection.
If law enforcement or other entities or persons request disclosure of your personal data (such as your, contact details or information about purchases), we will only disclose data if we are satisfied after internal review that we are legally required to do so or that disclosure is necessary to protect our rights or the rights of others and is not prohibited by law.

How long will your personal data be stored?
We will retain your personal data for as long as is necessary to provide the relevant services, maintain business records to satisfy tax, legal and other regulatory requirements, and protect and defend against potential legal claims.
In the context of our research and records on ownership of art objects to assist with checks on authenticity, provenance and title, we will keep this data for as long as the record is relevant to our legitimate business interest and the public interest.

Third party websites
Luxeford’s websites may contain links to other websites not operated by Luxeford’s. The information you provide to us will not be transmitted to other websites, but these other websites may collect personal information about you in accordance with their own privacy notice. Luxeford’s cannot accept any responsibility for the privacy practices or content of those websites.
